00 Forest Lawn, Covina Hills is in search of a professional to join the Maintenance department as an Administrative Assistant.
This position will provide day-to-day administrative support to the Grounds and Interments departments as well as manage customer service inquiries from our client families.
WHAT YOU'LL BE DOING Handle incoming mail and route to appropriate supervisor or department.
Prepare any outgoing mail.
File, organize and print documents.
Review and disseminate reports such as Interment and Maintenance lists, Service Sheets, Irrigation Reports etc.
Answer and make phone calls.
Appropriately direct and transfer incoming phone calls.
Take detailed messages for supervisors or departments.
Assist client families with excellent customer service and ensure their inquiry is directed as needed.
Coordinate appointments for client families as requested.
Dispatch, schedule and monitor received maintenance requests.
Receive memorial tablet orders, conduct tracking and inform client families when orders are received.
Schedule memorial tablet placements, noting any witnesses.
Maintain inventory, order supplies and communicate with vendors.
Coordinate calendar of events, meetings, trainings for both Grounds and Interment departments.
Attend staff meetings, pass out handouts, and gather signatures.
Conduct translations as needed.
Occasional driving of Forest Lawn vehicles for errands.
Other duties as assigned by Grounds, Interments Supervisors and Park VP.
REQUIRED QUALIFICATIONS High school diploma or general education degree (GED).
2-3 years experience in an administrative/customer service position.
Have a valid CA driver's license.
Must be bilingual in Spanish and English.
Excellent oral and written communication skills.
Ability to handle difficult situations with no supervision.
Ability to work well and contribute to a team environment.
Strong organizational, time management and interpersonal skills.
Self-starter with a strong work ethic.
Must be able to maintain confidentiality of client family information and records.
Ability to multi-task.
Must be able to promptly respond to requests and inquiries from Client Families.
Proficient in Microsoft Office Suite.
Must be able to establish and maintain an effective working relationship with those needed to interact in the course of work.
The employee is occasionally required to stand.
Lift reams of paper and load printer.
Bend over to lift items.
PREFERRED QUALIFICATIONS Associate's degree is a plus.
